RE: Vehicle use/sign-out

Three vehicles are reserved for travel away from the Station: the Chevrolet Venture, Dodge Caravan, and Dodge pickup. These vehicles should NOT be used in the fields. Two other vehicles, Suburban and Chevy van, and the Workhorse are reserved for on-station and field use by faculty and professional staff.

Log books in Station vehicles should be filled out each time a vehicle is used, with ALL columns (including mileage and destination) written in. Users should accept responsibility for logbooks that are incorrectly or incompletely filled.

Fueling of all vehicles, whether done on site or on the road, will be charged to the station account in the first instance. A logbook entry is required each time a vehicle is fueled.

All road vehicle use by temporary employees should be checked out by the faculty/professional staff person supervising the employee at the time, and remain the responsibility of the supervisor.

Persons reserving vehicles must indicate the expenditure code to be charged. There is a travel authorization form which must be filled out and e-mailed 48 hrs in advance of use. For vehicles reserved on the Station budget, the expenditure is approved by the field supervisor and/or Director before travel takes place. For travel on a specific non-Station budget, the lead PI on the project should authorize the expenditure and forward to John Avery. Projects will be charged for vehicle use at the going university mileage rate, except that the station account will absorb 10 cents per mile of the charge. The charge to projects will be computed and debited monthly.

The speed limit for the field roads has been set at 15 mph.  Speeding has frequently been observed on these roads, posing a danger to people around. All are reminded to please comply with the speed limit.

We have had a few cases of suspected vandalism on our vehicles. Please be on the lookout to report any suspected cases of vandalism, especially when the vehicle has been signed out to you.
